How to Know When You’ve Outgrown Your Software

The tool that once felt like a lifesaver can eventually become the thing slowing you down. Whether it’s clunky workarounds, rising costs, or outdated features, every business reaches a point where its software no longer fits.

In this episode, we talk about how to spot the signs that you’ve outgrown your current tools and how to plan your next move. Replacing software is never fun, but waiting too long can cost you even more in lost time, inefficiency, and opportunity.

We cover:

  • Why spending more time fixing than using software is a clear red flag
  • How to recognize when “workarounds” are holding your business back
  • Why outdated or unsupported tools put your systems and data at risk
  • The hidden costs of sticking with tools that no longer scale
  • How piecemeal patches create messy “Frankenstein” systems
  • Why upgrading is painful, but ultimately an investment in growth

If you’ve been wondering whether it’s time to replace your software, this episode will help you evaluate the true cost of staying vs. moving forward.

Anna Angelova

Happy Friday. Hmm

Jores Minasvand
0:31
Yeah, it’s a it’s a beautiful Friday. It is.

Anna Angelova
0:35
It is an amazing Friday and very, very fitting for the last working day of the week. What we have here as a topic is signs that you might have outgrown your current software. So what a better topic than technology for a Friday.

Jores Minasvand
0:53
Yeah, of course. Why not?

Anna Angelova
0:56
So let’s go. I say quickly, quickly share the science and go ahead and enjoy one of the last Fridays of the summer. If it’s not, yeah, I think it’s the last Friday of the summer.
So you want to start a choice or or do you want me to to start?

Jores Minasvand
1:16
Sure, sure, I can. I can start. Definitely. Well, why don’t we get a software or a platform in our company to to automate things, to save us time, to save us money?

Anna Angelova
1:19
OK, go ahead.

Jores Minasvand
1:33
So the few signs that you you have to watch out for that I will tell you that you have outgrown it is it no longer saves you time. You saves you time. You actually spend more time fixing this than spending time using it using these features.
It’s starting to cost you more than it’s worth it. It’s worth. That means now you have to move on. You’re you’re not. You’re in the big leagues now and your your people spend more time using workarounds than the software itself.
So these three signs, workarounds, waste of time and money. Those are the these are the three big signs. I tell you time for you to scale up and go to a new level.

Anna Angelova

Yes, absolutely. This is this is very spot on because at some point when you actually start trying to.
Do things that it, for example, one thing that happens is that when you started your business, this was a good tool. It was helping you in some way, but now it’s not sufficient. It doesn’t have all the necessary features and things like this. It doesn’t talk with other systems, for example, and like you said, Joris.
You actually spend a lot of time, additional time, resources, even money to to support this system and to get the data out of it, move it to another place. So if you have a system or two where where you’re doing this, now it it’s gotten to a place where it.
You need to manually do things and it doesn’t talk with others. I I would say this is this is probably another thing that if this system doesn’t talk with other systems, it’s not like there’s no easy way to connect it like it doesn’t have an API or something like this.
This is also something to look for and one thing that happens with different systems, of course with different software solutions and tools is that at some point the the whoever whoever created them, they might start not.
Supporting this and and these things happen even with the the the biggest of biggest companies and tools and things like this. They come up like you you know like like for example with even just thinking about the.
IOS on on the Apple devices, the Windows, all these things, all these things get updated once every couple of years. I think they come with a new version.
Nowadays probably once every two years they come up with a new version and sometimes they force install it. But then other times even your your hardware actually needs needs updating because it can support the newer versions and things like this and it could you need to especially I would say.
If the the two is not supported anymore, or if you are paying too much for individual support, again this is aligns a little bit with what you said about money, then this might be a sign that it’s time to to change to a new one.

Jores Minasvand
4:54
Or or yeah, like you said, upgrade to the next grade. If it’s a SAS space, go to the enterprise version or or something that matches your your needs. So yeah, it’s it’s it’s very I’ve faced it so many, so many, so many times.
It’s the opposite of. Well, sometimes there are tools that that you have to go to the opposite of. I remember we had a a session a few weeks back. We talked about how to consolidate all of your tools and.
You know you have too many tools to study the features. This could be a tool or a piece of technology or a system that it has reached its maturity and time for you to get another one. You may not necessarily get rid of this one because it’s serving a certain purpose. Go get a new one.
Try to upgrade or migrate. If not, just use both of them. There’s nothing wrong with it. At the end of the day, you won’t save a lot of time and money.

Anna Angelova
5:56
Yeah, it’s again, these things happen. It’s normal. I can no single tool or software will stay for you for the lifetime of your business and that’s OK. Now as you were, as you were sharing this, I was also thinking.
Another sign is also when you start patching it and adding functionality, the piecemeal functionality here and there on top of what it already has and it turns into some kind of monstrosity where and again it aligns as a bigger team it aligns with spending.
Too much time and too money on on this thing where you started with something that gave you the core functionality and then it was out-of-the-box, right? And as your business grew, you needed more things, so you might actually have an IT.
A team or outsourcing it to someone who supports you in this IT department, whether it’s in house or outsource and they might actually be adding different things. So it turns into that kind of and we’ve seen this especially in corporations, right, where it turns into some kind.
Of a monstrosity where the software provider they are not able to support you because you have actually taken it out the box and refined it for your own use. You and your team are spending a lot of time and money on on this thing.
So this is again thinking about the cost of what’s going on and the the benefits of changing. And yes, it’s painful. It moving from one system to another, it is. It requires time, it requires money.
But at the same time it is an investment. I can when you run the numbers, when you really look at the total cost of ownership, something that we have talked about, it makes sense once you if you identify that these things we mentioned that oh wait a minute this there is a system, there is a 2.
That this software, if we’re spending too much money on this one, a lot of time, and it’s not serving the as the way it was supposed to serve us, it’s not making things faster and better then.
The next step for you is of course to say OK, it’s time to move away from this and replace it with something and go find out what what something is and just take the Band-Aid off right and and.
Move forward so your business can can keep on growing, can keep on thriving and serving you, serving your employees and clients in the best possible way.

Jores Minasvand
8:48
Totally agree. Totally agree. It’s all about timing, right?

Anna Angelova
8:53
It is, it is. And again, these things happen and you might have used something for like 20-30 years and now it’s just the time to move forward. So there’s nothing wrong with this. It doesn’t mean that you have done things incorrectly, just that it it happens like these software solutions, they get old, they get obsolete.
They don’t serve us anymore. New and better ones come in, so.
Go check, check your software, think about it. Are there any systems that you see these signs that, oh, it’s it’s becoming obsolete. We’re spending too much time on manual, like manually trying to connect things or get information out of it. It’s not helpful the way it was before.
Or it’s actually creating more work than saving time and work and like we might be spending too much money supporting it if it crashes and things like this and if there are constant updates you need to make then.
Uh, take the next step and um.
Replace it with with something that is more aligned with where your business is right now and remembering also where you’re going.
So I think this is it for for today. Again, it’s Friday. It’s a good topic to to think about a little bit and I actually highly, highly encourage you to go through your systems and think about it and see is there a system that’s there that needs to be replaced or one that’s getting there so you can actually start.

Jores Minasvand
10:11
Yep.

Anna Angelova
10:29
Start preparing well in advance and really make sure that your technology serves you and amplifies your business the right way. So highly recommend take a little bit of time today to to do this.
And.
